01 · today

Working in your shop from day one.

Every shop that signs up gets all of these out of the box. We tune the details to your trade, your service area, and your hours.

Smart scheduling

  • Won't book impossible back-to-backsIf your tech is finishing a 9:45 in Wyckoff, it won't put a 10:00 in Montclair on top of it. It offers a realistic time and tells the caller why.
  • Packs routes by neighborhoodWhen a tech is already heading to the caller's area, Bellhop surfaces those slots first: "We've got a tech in your neighborhood Wednesday morning — would 11 AM work?" Tighter routes, more billable hours, less windshield time.
  • Books straight into your calendarBellhop looks at your real calendar live, offers actual open times, and books the appointment while the caller is on the line. Shows up in your dispatch board within seconds.
  • Handles reschedules cleanlyCaller wants to move Tuesday to Friday? It moves the existing appointment. No duplicates, no double-bookings.
  • Knows the difference between a question and a reschedule"Will the tech call before he comes?" gets answered out loud, no calendar change. Only an explicit "can we move it to X" actually reschedules.

Phone & voice

  • Picks up 24/7Every call, every hour. Nights, weekends, holidays, peak season. No voicemail. Two rings.
  • Pick the voice that matches your shopSix vetted American voices (three female, three male). Hear a preview of each in your portal, click save, next call uses the new voice.
  • Sounds like a person, not a phone treeNatural pacing, short replies, doesn't read robotic punctuation out loud. Callers usually don't realize they're talking to AI.

Knows your customers

  • Greets returning customers by nameCaller ID matches a prior visit → it greets them by name and pulls the address on file. No re-asking the same questions.
  • Remembers what we did last timeCaller mentions a problem that lines up with a past visit? It brings it up: "Last time we were out was December 3 for the furnace — same issue, or something new?"
  • Handles shared phones gracefullyHusband, wife, son all use the same number? When the caller introduces themselves with a different name than what's on file, it asks one quick question instead of greeting them as the wrong person.

Works with your whole team

  • Multiple techs, one shared calendarEach tech has their own day, their own starting address, their own schedule. It books to whoever fits the caller's time and area best.
  • Routes per tech, not just per shopDrive-time and "tech is nearby" suggestions are computed for each tech independently. Two techs in different towns get two different schedules, properly.
  • Tech assignment stays internalCaller asks "who's coming?" → it politely defers to the dispatcher. No promises it can't keep, no awkward "I want Marcus" follow-ups.
  • Calendar shows who's assigned at a glanceEach event title in Google Calendar starts with the tech's name. Owners and techs see the day clearly without opening every event.

Address & service area

  • Cleans up addresses callers fumble"Wood veil" becomes "Woodvale Rd". It reads the cleaned-up version back letter-by-letter on the street name to make sure it has it right.
  • Refuses out-of-area jobs politelyConfigure your zip codes; it declines anything outside, logs the lead in case you ever expand, and doesn't waste your tech's time.
  • Tap-to-navigate on the tech's phoneAddress goes into Google Calendar's location field — your tech taps the event on mobile, Maps opens to the door.

Emergencies

  • Recognizes real emergenciesGas smell, no heat in winter, AC out in extreme heat, major water leak — it pages your on-call tech immediately while it keeps gathering details.
  • Safety-first on gas calls"Get everyone out and call 911 first" comes before any booking talk. We don't want to schedule a tech to a house that needs the fire department.

Knowledge base

  • Answers your shop's common questions"Do you service heat pumps?" "What's your service area?" "Are you insured?" — answered from your custom Q&A list. Update it any time; it uses the new answer on the next call.
  • Handles topic changes mid-callCaller asks a question while you're booking? It answers it, then circles back to where they left off.

Owner portal

  • Dispatch-console feelCalm, dark, designed for between-jobs glance — not a marketing screenshot machine.
  • Every call recorded and searchableListen to any call, see the transcript, see exactly what Bellhop did. Filter by phone number to see every call from a specific customer.
  • Customer viewClick any number, see all of their appointments past and upcoming, contact info, full call history.
  • Voice pickerTry all six voices saying your shop's greeting. Save → next call uses it.
  • Notification preferencesChoose to get weekly summaries, daily call recaps, or just emergency pings. Settings remembered between sessions.

Reliability

  • Never double-booksIf something goes wrong mid-call, it won't accidentally book the same slot twice. Caller gets a clean confirmation, you get one event on the calendar.
  • Same-day fixesSpot a problem on a real call, fix it that afternoon. We watch every call that goes through the system.

Plan protection

  • Spam never counts against your minutesRobocalls, autodialers, dead air, hung-up-in-five-seconds calls — flagged automatically and excluded from your billable minutes. Your $99 covers real customer calls, not the noise.
02 · integrations

Plays nicely with your tools.

Bellhop books straight into Google Calendar today — that's how most shops we talk to run. Direct connections to the big trade CRMs are next. Anything we don't have a native integration for, a Zapier hook covers it.

Live today

  • Google CalendarTwo-way: reads your real availability, writes new bookings, handles reschedules. Each event is tagged with the assigned tech's name. Cancel a booking in Calendar and Bellhop respects it.

Trade CRMs — coming next

  • ServiceTitanHVAC, electrical, plumbing — the standard for larger shops. Read availability, write bookings, sync customer history.
  • Housecall ProMulti-trade. Common across HVAC, electrical, and roofing shops we've talked to.
  • JobberMulti-trade. Common across HVAC, electrical, low-voltage, roofing, and pest control.
  • FieldEdgeHVAC-leaning. Strong customer history features that pair well with Bellhop's "remember last visit" recall.
  • AccuLynxRoofing-specific. Project-based scheduling, insurance claim flow.
  • GorillaDeskPest control. Recurring routes and treatment history per address.

Universal hook

  • ZapierConnect anything else — internal dispatch boards, accounting tools, niche trade CRMs (low-voltage, fire/security install, etc.). New booking → Zap fires → your tool gets the data.
Don't see yours?
Tell us when you start the trial. We prioritize integrations based on what current shops actually use, not press releases — if there's a real shop on the other end, it likely jumps the line.
03 · what's coming

On the roadmap.

These are designed and prioritized. Email if you'd push any of these to the front of the line — early customers get a vote.

Outbound texting (next big unlock)

  • Morning brief for each tech7am text from its number to every tech: today's stops, addresses, problem summaries, drive time between them. Replaces the dispatcher meeting.
  • Weekly performance digestMonday morning text: "23 calls last week, 18 booked, $4,200 revenue scheduled, 0 missed emergencies." Concrete proof Bellhop pays for itself, every week.
  • Daily call summary (optional)End-of-day recap of every call it handled. Useful when you're getting comfortable with the system; turn it off whenever.

Revenue from customers you already have

  • Bring back dormant customersBellhop scans your customer list for people you serviced 12–24 months ago who haven't booked again. Sends a personalized text — "we did your furnace tune-up last fall, want to schedule this year's?" — with a one-tap booking link. Shops typically have hundreds of dormant customers sitting idle in the calendar; this surfaces 30–50 bookings from one batch.
  • Auto-text Google Review request after a clean jobA day after a tech marks the job done, Bellhop texts the customer a Google Review link. Most shops have under 10 reviews because asking is awkward. 50+ reviews dominates local SEO and lifts inbound calls organically.
  • Post-job satisfaction follow-up24 hours after the visit, Bellhop checks in: "tech was at your place yesterday — everything still working OK?" Captures dissatisfaction before it becomes a 1-star review, surfaces upsell openings ("actually, the AC is making a weird noise now"), and feeds positive replies into the review-request flow.

Mobile app for the field

  • Tech app for iPhone & AndroidEach tech installs the app on their phone. Sees their day, taps "arrived" / "done", logs voice-to-text notes about what they found, snaps a photo of the unit or nameplate. All saved on the appointment.
  • Owner app with live tech trackerSee every tech's status on a map, get push notifications for emergencies and cancellations, approve reschedules with one tap.

Customer experience

  • "Tech is on the way" tracker for the customerOnce the tech taps "on the way", the customer gets a link with live ETA and (optionally) a map. Same experience as Uber or DoorDash. Drastically cuts "where's my tech?" calls.

Owner portal upgrades

  • Reassign a tech in one clickEvery event on your dashboard gets a tech dropdown. Pick a different tech, calendar updates immediately.

Tech-side workspace

  • Each tech logs into their own daySimple PIN login, sees only their stops. Adds notes from the truck, suggests follow-up work without committing the calendar to it.
  • Tech can reschedule from the fieldJob ran long? Tech reschedules from their phone, it handles the cascade to downstream customers automatically.

Multiple businesses on one login

  • Switch between your shopsOwn an HVAC shop and an electrical shop? Both businesses on the same login, top-bar dropdown to switch. Each one has its own number, voice, hours, and on-call setup.
